16 restaurant review response examples for Google: long waits, cold food, allergies, lost reservations, delivery apps, service charges and servers named.

Published

Restaurant reviews are about a specific night: a dish, a Friday rush, a reservation that went sideways. Your reply gets read by everyone deciding where to eat tonight. These examples are built for situations that come up in restaurants, good and bad, with placeholders to swap: [Name], [dish], [day], [server].

How should a restaurant respond to reviews?

Mention something concrete, then say what happens in the kitchen or on the floor. A guest who wrote about an overcooked steak won't be impressed by "Thanks for your feedback!" Three habits that work for restaurants:

  1. Name the dish or the shift: "the short rib at lunch", "the 8 p.m. seating on Saturday". It proves you read it.
  2. Bring the team in: the chef, the servers, the host stand. Readers like knowing who saw the message.
  3. Take disputes offline fast: a disputed check, an allergy, someone who got sick. Give a number or email and finish the conversation privately.

Replies matter to diners: in BrightLocal's 2026 survey, 80% of consumers said they're more likely to use a business that responds to all its reviews. For the overall process, see how to respond to Google reviews.

Positive restaurant review response examples

1. A dish they raved about

Thanks so much, [Name]! Chef read your review out loud in the kitchen: the [dish] is one of [his/her/their] favorites to make. The menu changes [every season], so come back and try the next version.

2. A server called out by name

Thank you, [Name]! [Server] was thrilled to read this. Great service is a team effort, and your note is going up on the board in the back. See you next time.

Only use the name if it's already in the review, and check that your server is fine being mentioned.

3. Birthday, anniversary or celebration

Thanks for choosing us for [your mom's birthday / your anniversary], [Name]. The whole team loved being part of the night. We'd be happy to host the next celebration too.

4. Quick, great lunch

Thanks, [Name]! Getting a good lunch out in under an hour is the whole challenge, and we're glad we nailed it. The special changes [daily], so stop by and try [day]'s.

5. A dietary request handled well

Thank you, [Name]. Adapting a dish [gluten-free / for the kids] is part of the job, and we're glad you could relax and enjoy the meal. Let us know when you book next time and the kitchen will be ready.

Don't repeat the health detail from the review ("your peanut allergy"): thank them without echoing it.

6. Four stars with a note about noise or the wait

Thanks for the four stars, [Name]. You're right, the dining room gets lively on [Friday nights]. If you'd like it quieter, ask for [the patio / the back room] when you book. Glad you loved the [dish]: we're hoping to earn that fifth star.

Negative restaurant review response examples

7. Long wait during the rush

Hi [Name], thanks for the honest feedback, and we're sorry about the [45-minute] wait [on Saturday night]. [We were short in the kitchen / A large party walked in], but that's not your problem. We've since [added a line cook on weekends / capped covers per seating]. I'd love the chance to do better: email me at [email]. [Your name], General Manager

8. Food came out cold or undercooked

Hi [Name], a lukewarm [dish] isn't acceptable and we're sorry. Chef has gone over the handoff between the line and the floor with the team [, with a temperature check at the pass]. If you mentioned it at the table and nobody fixed it, that's a second miss: please reach me at [email]. [Your name], General Manager

9. Allergic reaction reported

Hi [Name], thank you for telling us. What you describe is serious and we're taking it very seriously. We're reviewing the recipe cards and that shift today. Could you call me at [phone] or email [email]? I want to understand exactly what happened. [Your name], General Manager

10. Guest says they got sick after the meal

Hi [Name], we're sorry to hear you were sick and we hope you're feeling better. We take this seriously and are checking [the product and cold chain] for that service. Please contact me directly at [phone] or [email] so we can talk it through. [Your name], General Manager

11. Lost reservation or no table

Hi [Name], showing up with a reservation and not getting a table is the worst way to start a night. We're truly sorry. [The booking didn't make it into our system / We double-booked the table], and we've [changed how we confirm reservations / added a text confirmation]. Please email me at [email]: I'd like to host you properly. [Your name], General Manager

12. No-show who left a bad review

Hi [Name], thanks for your message. We can't find a visit matching the date you mention, though a reservation under that name [wasn't honored / was canceled]. If we've got it wrong, please email us at [email] so we can figure out what happened. [Your name], General Manager

Stay factual: no lecture about no-shows, and no booking details that could identify the person.

13. Delivery order arrived cold or incomplete (DoorDash, Uber Eats, Grubhub)

Hi [Name], sorry your order showed up [cold / missing the dessert]. We time each order to the driver's arrival, but the result is what counts: we've [switched to vented containers / added a bag check before sealing]. If you ordered through [the app], you can file a claim there, and you can also email me at [email]. [Your name], General Manager

Don't blame the driver. To the guest, your restaurant delivered that food.

14. Rude server

Hi [Name], thanks for letting us know. That's not how we expect anyone on our floor to treat a guest, and we're sorry. We've talked it through with the team. I'd be glad to hear more at [email]. [Your name], General Manager

Never name the server in a negative reply, even if the review does.

15. Service charge or automatic gratuity complaint

Hi [Name], thanks for raising this. We add [an 18% service charge for parties of 6 or more], and it's [printed on the menu and the check]. We understand it can be a surprise, and we're looking at how to make it clearer when you book. If something on your check looks wrong, send a photo to [email] and we'll go through it together. [Your name], General Manager

16. Review meant for a different restaurant

Hi, thanks for the feedback. Based on your description ([a dish we don't serve / a different address]), it sounds like this review may be for another restaurant. If we've got that wrong, please email us at [email]. [Your name], General Manager

Then report it to Google as off-topic, which is one of the reasons its policy covers.

What Revys does for restaurants, and what it doesn't

Revys handles the reviews on your Google Business Profile: new review alerts, reply drafts and publishing to Google through the official API. Revys AI review replies (Pro plan, $7.90/month for one location) draft in the tone you choose, with your signature. You decide whether each draft waits for approval or goes out after a delay. Sensitive-topic detection (allergies, food poisoning, legal complaints) is tuned for French-language reviews for now, so for English reviews, keep approval on for anything below five stars.

To try a reply on a real review, paste it into the free AI review response generator. FAQ

How do you respond to a negative restaurant review?

Thank them, name the specific problem (the wait, the cold entree, the host stand), apologize if it's real, say what the kitchen or floor changed, and give a direct email or phone number. Three to five sentences, signed by the GM or chef.

What is a good response to a positive restaurant review?

Thank the guest by first name, mention the dish or server they loved, and give them a reason to come back, like a seasonal menu or a weekly special. One to three sentences is plenty.

How should a restaurant reply to a review about an allergic reaction?

Don't minimize it and don't debate the facts publicly. Say you take it very seriously, that you're reviewing the recipe and the shift, and ask them to call the manager directly. Keep any health details out of your reply.

Should I respond to Google reviews about DoorDash or Uber Eats orders?

Yes, if the review is on your Google Business Profile. Guests don't separate the restaurant from the driver. Own what you control, like prep timing and packaging, and don't blame the courier.

Can I offer a free meal in my reply to a bad review?

Not in the public reply. Google bans incentives tied to posting, changing or removing a review, and says replies aren't the place for offers. You can make things right privately, as long as it isn't conditional on the review.
